Terms & Conditions

1. Acceptance of Terms

By accessing and using Security Worx's platform, mobile applications, or any related security management services (collectively, the "Services"), you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions ("Terms"). If you do not agree to these Terms, you must not access or use our Services.

These Terms constitute a legally binding agreement between you and Security Worx Limited ("Security Worx," "we," "us," or "our"), a company registered in England and Wales. Your continued use of the Services constitutes your acceptance of any modifications to these Terms.

2. Description of Services

Security Worx provides a comprehensive security workforce management platform specifically designed for the UK security industry, including but not limited to:

  • Security officer time tracking and attendance management
  • Site-specific security shift scheduling and rota management
  • Real-time incident reporting and documentation
  • Security patrol tracking and verification
  • Secure communication between security personnel and control rooms
  • Visitor management and access control logging
  • SIA licence management and compliance tracking
  • Training records and certification management
  • Security performance analytics and reporting
  • Mobile applications for iOS and Android devices optimised for security operations

We reserve the right to modify, suspend, or discontinue any aspect of the Services at any time, with reasonable notice where practicable, and without liability to you.

3. User Accounts and Registration

Account Creation

To use the Services, you must create an account. You agree to provide accurate, current, and complete information during registration, including valid SIA licence details where applicable, and to update such information to keep it accurate and current.

Account Security

You are responsible for:

  • Maintaining the confidentiality of your account credentials and PIN codes
  • All activities that occur under your account, including clocking in/out and incident reports
  • Notifying us immediately of any unauthorised use of your account or security breach
  • Ensuring that you log out from your account at the end of each shift or session
  • Not sharing your account credentials with other security personnel

Important Security Notice: You are solely responsible for all activities conducted through your account. Security Worx will not be liable for any loss or damage arising from unauthorised access due to your failure to maintain account security. False reporting or fraudulent time entries may result in immediate account termination and may be reported to your employer.

Account Eligibility

You must be at least 18 years old and hold a valid SIA licence (where required for your role) to create an account and use our Services. By creating an account, you represent and warrant that you meet these requirements and have the legal capacity to enter into these Terms.

4. User Responsibilities and Conduct

You agree to use the Services only for lawful security operations purposes and in accordance with these Terms. You agree not to:

  • Violate any applicable UK laws, regulations, or the Private Security Industry Act 2001
  • Falsify time records, incident reports, or patrol logs
  • Impersonate other security personnel, supervisors, or any other person
  • Share sensitive security information or client data outside authorised channels
  • Use the Services to transmit any malicious code or attempt to compromise security systems
  • Attempt to gain unauthorised access to restricted areas of the platform or other accounts
  • Interfere with GPS tracking, geofencing, or other security verification features
  • Use automated means to clock in/out or generate false patrol data
  • Collect or harvest personal information of clients, visitors, or other users
  • Use the Services for any purpose other than legitimate security operations

5. Subscription and Payment Terms

Subscription Plans

Security Worx offers various subscription plans tailored for security companies of different sizes. Plans are typically billed per active security officer or per site. Specific features and limitations of each plan are described on our website.

Billing and Payment

  • Subscription fees are billed in advance on a monthly or annual basis in GBP (£)
  • All fees are exclusive of VAT, which will be added at the prevailing UK rate
  • You authorise us to charge your nominated payment method for all fees incurred
  • Failure to pay fees may result in suspension or termination of Services
  • Payment terms are typically 30 days from invoice date for corporate accounts

Free Trial

We may offer a free trial period for new security companies. At the end of the trial period, your subscription will automatically convert to a paid subscription unless you cancel before the trial ends. No charges will be applied during the trial period.

Price Changes

We reserve the right to modify our pricing structure with at least 30 days' written notice. Your continued use of the Services after the price change constitutes acceptance of the new pricing.

6. Data Protection and Privacy

Security Worx is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Data Processing

We process personal data including but not limited to:

  • Security personnel details and SIA licence information
  • Time and attendance records
  • GPS location data during shifts
  • Incident reports and security logs
  • Communications between security staff and supervisors

Your Privacy Rights: Under UK GDPR, you have rights including access to your data, rectification, erasure, and data portability. For full details, please refer to our Privacy Policy. Your use of the Services is governed by our Privacy Policy, incorporated into these Terms by reference.

Data Retention

We retain security records and incident reports in accordance with UK legal requirements and industry best practices. Data may be stored in secure data centres within the UK and European Economic Area.

7. Intellectual Property Rights

Ownership of Services

The Services, including all content, features, software, designs, and the Security Worx branding, are owned by Security Worx Limited and are protected by UK and international intellectual property laws.

Limited Licence

Subject to compliance with these Terms, we grant you a limited, non-exclusive, non-transferable licence to access and use the Services solely for your security operations purposes.

User-Generated Content

You retain ownership of incident reports, patrol logs, and other content you create through the Services. By submitting such content, you grant Security Worx a licence to store, process, and display it solely for the purpose of providing the Services. You warrant that you have the right to submit all content and that it does not breach any confidentiality obligations.

8. Limitation of Liability

To the extent permitted by UK law:

  • The Services are provided "as is" without warranties of any kind
  • We do not warrant that the Services will be uninterrupted, error-free, or completely secure
  • Security Worx shall not be liable for any indirect, incidental, special, or consequential damages
  • Our total liability for any claim shall not exceed the fees paid by you in the 12 months preceding the claim
  • Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under UK law

Important Notice: Security Worx provides workforce management software only. We are not a security services provider. Your security company remains fully responsible for all security operations, compliance with SIA regulations, and the actions of your security personnel.

9. Termination

Termination by You

You may terminate your account at any time by providing written notice or through your account settings. Upon termination, your right to use the Services will cease at the end of your current billing period.

Termination by Security Worx

We may suspend or terminate your account immediately for:

  • Breach of these Terms or UK laws
  • Fraudulent activity or falsification of records
  • Non-payment of fees beyond 30 days
  • Misuse of the Services that compromises security or other users

Data Upon Termination

Upon termination, we will provide you with an opportunity to export your data within 30 days. After this period, data may be deleted in accordance with our retention policy, unless we are required by law to retain it for longer.

10. Governing Law and Jurisdiction

Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales.

Jurisdiction

The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms or their subject matter.

Dispute Resolution

Before commencing legal proceedings, we encourage parties to attempt to resolve disputes through good-faith negotiation. We are committed to resolving any concerns promptly and fairly.
